2. What data we handle, and why
When you contact us
When you send us an email, give us a call [or use the contact form], we handle your name, email address, phone number, company, and whatever you write to us. We use this information to get back to you and follow up on your request—whether it's about a demo, a quote, or support for your operations.
Basis: Our legitimate interest in responding to your inquiries (GDPR Art. 6(1)(f)). If you're reaching out about a potential purchase, the basis is that it's necessary to enter into or fulfill an agreement (Art. 6(1)(b)).
Customers, suppliers, and partners
We process contact details for key contact persons at our customers, suppliers, and partners so we can deliver products, service, and support, and follow up on our agreements.
Basis: Agreement (Art. 6(1)(b)) and legitimate interest (Art. 6(1)(f)). We also process accounting details because we are legally required to do so under the Bookkeeping Act (Art. 6(1)(c)).
Job applications and inquiries
If you send us an application, CV, or an open inquiry, we process your information to evaluate you as a potential crew member for our team.
Basis: Steps taken prior to entering into a potential agreement (Art. 6(1)(b)). We delete applications no later than [6] months after the recruitment process has ended, unless you agree to let us keep them longer.
Document Archive for Customers
The document archive on our support page is unlocked with an access code from Ocein. When you unlock the archive, a marker is saved in your browser (localStorage) so you don't have to enter the code every time. This marker is not sent to us and contains no personal data.
Visiting our website
When you stop by ocein.no, we register some technical details like your IP address, browser type, device, which pages you look at, and where you came from. Some of this is necessary to keep the site running and secure. The rest is used for stats and marketing, but only if you give us the green light. See section 3.
3. Cookies and similar technology
We use cookies and similar technologies. Necessary cookies are used without consent. All others are only used if you opt-in via our cookie banner, in line with Section 3-15 of the Electronic Communications Act and GDPR Art. 6(1)(a). You can change your mind or withdraw your consent at any time through the cookie settings.
We load these tools through Google Tag Manager, and use Google Consent Mode to respect your choice. If you opt out of stats or marketing, no such cookies will be set. Google may still receive anonymized, cookie-free signals used for modeled statistics.

4. Who we share data with
We never sell your personal details. We use trusted suppliers who process data on our behalf (data processors), and we have solid data processor agreements in place with them:
Framer B.V. (Netherlands): website hosting and operations
Usercentrics / Cybot A/S (Denmark): our Cookiebot consent solution
Google Ireland Ltd.: Google Tag Manager, Google Analytics 4, and Google Ads
Google Workspace: email and document management
CRM system
Accounting firm / accounting system
We may also share information with public authorities if required by law.
5. Transfers outside the EU/EEA
Some providers, including Google, may process data in the US. Such transfers are done on a lawful basis, like the EU-US Data Privacy Framework or the EU Commission's standard contractual clauses (Art. 46).
6. How long we store your data
Inquiries: as long as needed to follow up, and no later than [12] months after our last contact, unless a customer relationship is established.
Customer and supplier relationships: for the duration of the agreement, and thereafter as long as necessary to protect legal claims.
Accounting records: 5 years in line with the Bookkeeping Act.
Job applications: see section 2.
Google Analytics: [14] months.
Cookies: lifespan for each cookie is specified in the cookie declaration.
7. Your rights
You have the right to:
request access to the data we hold about you
have any incorrect details corrected
have your data deleted
restrict the processing of your data
object to processing based on legitimate interest
receive the data you have given us in a machine-readable format (data portability)
withdraw your consent at any time, without affecting the legality of processing based on consent before its withdrawal

If you feel we aren't processing your personal data in line with the rules, you can file a complaint with the Norwegian Data Protection Authority (Datatilsynet): datatilsynet.no, Postboks 458 Sentrum, 0105 Oslo. We'd really appreciate it if you reached out to us first, though, so we can try to sort things out together.
8. Security
We have solid technical and organizational measures in place to protect your details from unauthorized access, loss, or modification. Our website uses an encrypted connection (HTTPS).
9. Links to other websites
Our website links to external services, including Google Maps. When you follow these links, the privacy policy of that particular service will apply.
10. Changes
We will update this policy whenever we change how we process personal data. The date at the top shows when it was last updated.
